This Privacy Policy describes how PeopleTech Knowledge ("the Service") collects, processes, and protects information. The Service is an internal tool for PeopleTech Partners advisors and is not intended for public use.

2. Information We Process

The Service processes the following types of information:

  • Forum Archive Content: Historical email discussions from the PeopleTech Google Groups advisor forums, including message text, sender information, dates, and subject lines
  • Your Queries: Questions you submit to the Service are processed to generate responses but are not persistently stored or used for training
  • Usage Data: Basic technical information required to operate the Service (e.g., request timestamps, error logs)

3. How We Use Information

Information is processed solely to:

  • Generate vector embeddings of forum content for semantic search
  • Retrieve relevant archive discussions in response to your queries
  • Generate AI summaries using retrieved source material
  • Maintain and improve Service reliability and performance

4. Third-Party Services

The Service uses the following third-party providers:

  • Amazon Web Services (AWS): Cloud infrastructure, database hosting, and Bedrock AI services for response generation
  • OpenAI: Text embedding API for semantic search functionality
  • Vercel: Web application hosting

These providers process data according to their respective privacy policies and our data processing agreements. Your queries are sent to AI services to generate responses but are not used to train their models.

5. Data Security

The Service employs industry-standard security measures including encrypted data transmission (TLS), secure cloud infrastructure, and access controls limiting the Service to authorized PeopleTech advisors. The forum archive is stored in a secured database with access restricted to authorized systems.

6. Data Retention

The forum archive is retained as a historical knowledge resource for PeopleTech advisors. Your individual queries are processed in real-time and are not persistently stored beyond temporary processing logs required for Service operation.

7. Your Rights

As an authorized user, you may request information about how your data is processed or raise concerns about forum content that includes your contributions. PeopleTech Partners will address such requests in accordance with applicable policies and regulations.

8. Data Sharing

We do not sell, rent, or share personal information with third parties for marketing purposes. Information is only shared with the third-party service providers listed above as necessary to operate the Service.

9. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated to authorized users through appropriate channels. Continued use of the Service constitutes acceptance of the updated policy.
